This Privacy Policy explains how we collect, use, store, and protect personal information when you use our products and services — including our Google Workspace add-ons, web applications, APIs, and any other services we offer (collectively, "Services").
3. Information We Collect
We collect the following types of information:
- Account information: Your Google account email address and basic profile information (name, profile picture) when you authenticate with Google OAuth.
- Organizational data: Documents and files from Google Drive or Microsoft SharePoint that you explicitly authorize our agents to access — used solely to provide the requested AI assistance.
- Usage data: Queries submitted to our AI agents, responses generated, and interaction logs — retained for audit and service improvement purposes.
- Contact information: Name, email address, organization, and message content submitted via our contact form.
- Technical data: IP address, browser type, device type, and usage analytics collected automatically when you use our web services.
4. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our AI agent services
- Authenticate users and manage access controls
- Answer questions and complete tasks as directed by authorized users
- Maintain audit trails as required by enterprise compliance requirements
- Respond to inquiries submitted through our contact form
- Improve the accuracy and performance of our AI services
- Comply with applicable laws and regulations
We do not sell your personal data. We do not use your data for advertising purposes. We do not share your organizational documents with third parties except as required to provide the service (e.g., AI model inference providers operating under strict data processing agreements).
5. Google API Services — Limited Use Disclosure
Lunqora Technologies' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we:
- Only request Google API scopes necessary to provide the requested functionality
- Do not use Google user data for advertising or to train AI models without explicit consent
- Do not transfer Google user data to third parties except as necessary to provide or improve our services, as required by law, or as part of a merger or acquisition
- Do not allow humans to read Google user data unless we have your affirmative agreement, it is necessary for security or compliance, or it is required by law
6. Data Storage and Security
Your data is processed and stored on Microsoft Azure infrastructure, primarily in the South Africa North region — the closest Azure region to East Africa. We implement the following security measures:
- Encryption in transit (HTTPS/TLS 1.2+) and at rest (AES-256)
- Role-based access controls limiting who can access your data
- Azure Key Vault for encryption key management
- Regular security assessments and vulnerability testing
- Multi-tenant data isolation — your organization's data is never accessible to other organizations
7. Data Retention
Conversation logs and usage data are retained for 90 days by default, after which they are automatically deleted. Audit logs required for compliance purposes are retained for the period specified in your service agreement (typically 12 months).
Organizational documents accessed via Google Drive or SharePoint are processed in real-time and are not permanently stored on Lunqora infrastructure beyond what is required for caching and performance optimization (maximum 24 hours).
8. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate personal data
- Request deletion of your personal data
- Withdraw consent for data processing where consent is the legal basis
- Request a copy of your data in a portable format
- Lodge a complaint with the relevant data protection authority

9. Third-Party Services
Our services use the following third-party providers, each bound by their own privacy policies and our data processing agreements:
- Microsoft Azure — cloud infrastructure and AI services
- Google Cloud / Vertex AI — AI model inference
- Africa's Talking — WhatsApp and SMS messaging (where applicable)
10. Cookies
Our website uses only essential cookies required for authentication and security. We do not use advertising or tracking cookies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through a prominent notice on our website. The "Last updated" date at the top of this page indicates when it was last revised.
